Planners

How can I reserve space?

First, you need to outline your event needs and relay them to the Northlands Sales Department. To help with this, you may want to use our Booking Inquiry form. Or you can contact the Northlands Sales Department at 780-471-7337 and ask to speak with someone directly.

If the appropriate space and dates are available, you may request to have a tentative hold placed. Your Sales representative will explain your tentative hold timelines. Within a reasonable time frame, you must contact us to confirm your intent to book the space or the tentative hold will be removed. Once your confirmation is received, your event is considered booked and a License Agreement will be sent to you for review and signature. The license will outline the exhibit hall(s), conference and meeting space that you require over the dates as well as a payment schedule.

Note: Short term bookings will require a more condensed time frame.

The License Agreement and noted deposit must be returned within the scheduled time frame. If the License Agreement is not returned within the time specified, the space and dates may be released.

Once the License Agreement and deposit are received, your hold becomes a confirmed booking and your space and dates are held on a contracted basis. You will then be assigned a Client Services Manager to assist with your onsite management.

What is included in the rental fees?

The exhibit hall lease includes the services of a Northlands Client Services Manager to assist you with event planning and onsite management, in addition to appropriate heating/cooling ventilation requirements.

Meeting Room and Ballroom leases include ventilation provisions, the services of a Northlands Client Services Manager and the following:

Meeting/Conference

  • 1 standard set-up (conference, hollow square, U-shape, theatre or classroom)
  • 1 lectern (standing or table)
  • 1 wired microphone tied into our house speaking sound system
  • 1 tier platform/staging including stairs
  • Existing electrical outlets (120v/15amp) – Varies per room
  • Water service for the lectern/head table
  • water service for conference/hollow square/U-shape set-ups
  • Water stations for theatre and classroom sets (upon request)
  • Registration table and chairs at entrance of room (upon request)

Catered Event

  • 1 standard set-up, dinner tables and chairs as per a predetermined floorplan. Any additions after the final numbers have been confirmed will be subject to a service charge.
  • Standard table linens in a selection of colours, fine china, cutlery and stemware. Custom linens and decorative enhancements can be arranged through an outside supplier for an additional charge
  • 1 lectern
  • 1 wired microphone tied into our house speaking sound system
  • Existing electrical outlets (120v/15amp) – Varies per room
  • Registration table and chairs at entrance of room (upon request)

Do we need insurance?

By contract, event organizers are obliged to provide a Certificate of Insurance to Northlands. These details are outlined in your License Agreement and can be discussed with your sales representative.

What services are available through the facility?

The following services are provided exclusively by Northlands:

  • Utilities (electrical, plumbing, telecommunications)
  • First aid
  • Rigging services
  • Exclusive catering services including concessions
  • Business centre
  • Coat check

Is audio-visual equipment available through the facility?

These services are available through our preferred suppliers. Your specific needs should be discussed with your Client Services Manager.

What work can my exhibitors do in their booth space?

How do I get to the EXPO Centre?

There are several options available. Please refer to our Transportation page for directions as well as public transportation information.

How can I get to/from the airport?

There are several options available. Please refer to our Transportation page for directions as well as public transportation information.

Is there parking at the EXPO Centre?

Northlands has several large parking areas with close access to all entrances. Please visit our Grounds Map page.

What hotels are close to the EXPO Centre?

What services are available for disabled attendees?

We have made every effort to accommodate people with disabilities. Throughout the complex, you will find entrances, elevators, restrooms and event services (stage ramps, lifts etc.) that offer accessibility for our disabled guests. Accessible parking is also available. Please see our Grounds Map for parking stalls specifically located for persons with disabilities.

Northlands does not offer mobility equipment such as scooters or wheelchairs. Please refer to the yellow pages to find suitable rental companies.

Where do I get information about the show?

Contacting the organization that is planning your show is the best way to source information regarding move-in, show operation and move-out, as well as other activities that will occur during the event. Visit our Events Calendar to link to their website.

Where can I find suppliers for the equipment and services that I will need for the show?

The show organizer will send you an Exhibitors Package prior to the show. In it you will find information and order forms for suppliers who have been selected by the show organizer to service exhibitors. You may also refer to our online Supplier Listing. If you find that you have a need that is not found in the Exhibitor Package, it is suggested that you contact the show organizer.

What utility services are supplied by Northlands?

Northlands offers the following:

  • Electrical: Ranging from 120volt/15amp to 480volt/400amp service; services are available in both floor ports and overhead depending on the exhibit hall
  • Communication: Both single and multi-line service
  • Cable TV
  • Internet Service: A full line of internet connectivity solutions that provide continuous, dedicated access to the internet at a variety of speeds
  • Plumbing: A complete line of service including compressed air, water, drain, natural gas, bottled gases, filling and draining of water tanks, venting to the atmosphere, ductwork from air conditioning units within a booth, anchoring, welding, hydraulic and chiller interconnections and chemical waste removal.

How do I arrange for electrical, telecommunications or internet services?

How do I arrange for food and beverage service in my booth?

Northlands is the exclusive provider for all food and beverage services. Please contact the Catering Office at 780-471-7230 or speak with your Client Services Manager.

How do I reserve a meeting room to use for a reception or private demonstration?

Is WiFi available on the show floor?

Wireless internet access is available at a nominal fee. Daily and multiday packages are available.

Internet services vary from city to city; is there someone at Northlands who can assist us directly with our Internet requirements?
Calling our Northlands Technology Services Department at 780-471-7188 will ensure that your Internet and networking needs are fulfilled.

Do you rent computers?

We do not rent computers.

Can I ship my booth and materials directly to the EXPO Centre?

All show materials must be shipped to the Official Service Contractor who has been selected by the show organizer. Shipping information will be found in the Exhibitor Package that is sent to you by the show organizer.
